Subject: Change of Payment Method, Bank Information Required

Following intense research and consideration by the HR department, the company has decided to change the payment method. The HR department has also considered all payment methods and selected the direct deposit method as the most reliable method. For this reason, the company has decided to adopt it forthwith. With this regard, it is imperative that all employees prepare themselves with all the necessary information to make this possible.

The company has requires to collect necessary bank information from every employee to necessitate the transformation. You will be required to submit your voided check or routing number to your respective supervisors. This information can be obtained from your bank. Forms that are intended to capture all the information are to be collected at the HR department with the reception or downloaded from the company website. Information may only be submitted in person or by fax. No e-mailing is permitted. Emailing bank details is risky and may put bank details in the wrong hands hence causing losses. Consult with the company website for the fax number to use for your submissions.

All employees who have been receiving their payments by check will be required to submit their details by 20^th October, 2014. October payments will be made through bank payments. Those who will not submit their details by then may have their payments released late or withheld until they give their information. The company has organized with various banks to assist those who would need to open new accounts. You should stay on the lookout for them.

Note that this method of payment is more convenient for both the company and you. It is cheaper as the company will not spend money on paperwork and postage fees. The company will also save money on time spent on remuneration each month, minimize errors and save on human resource hours. The employees will, on the other hand, save time on trips as they will only have to visit the bank once to get their money. The money will also be available earlier as there will not be need to wait for days as their check is processed in the bank. The employee will also be guaranteed of getting paid even when they are not physically at the office. Specifically, field employees will not have to visit the office to get their payments. If employees are on sick leave or on vacation, they still get their payment on the usual date without having to visit the office. The method is also safer. You do not risk losing your check which may require you to pay penalties to the bank, or to investigators.
