Jeff recently secured a new position as a Marketing Director interstate and now needs to move the family to Perth. Currently, the family live in a two bedroom rental apartment in Maroochydore, on the Sunshine Coast, Qld. The relocation will be to a rented four bedroom suburban house in Perth (already secured). Jeff starts his new job on 5 February, 2019, and they need to vacate their current property on 20th January, 2018. The new rental in Perth commences on 27th January, 2019. You are able to include excpetions and variances but they must be documented.

Requirements

Prepare a plan (WBS) for all activities required to effectively move the family and their belongings to Perth (including all transportation). Compile a Gantt chart, inspect it and make all necessary refinements to meet the needs of the family and their budget. As you refine your task list and schedule, keep a record of what amendments you make and why.

The report mainly highlights on the plan that helps in preparing a WBS for a family relocation from Sunshine Coast. The scenario reflects that there are two adults named Kelly and Jeff who have two children. The family that consisted of 4 members mainly live in a two-bed room apartment. As Jeff has got a job in one of the organizations in the city of Perth, the family wants to move to a new house in the city of Perth with all the basic belongings. Moreover, both the children will get admission in one of the schools in Perth. It is found that as the family wants to move from the present city, they need to emptying their house within 20th January whereas they can move to the new house after 27th. The event planner assumes that the amount of money which is mainly needed for the entire project will be around $15,000. In addition to this, the report helps in providing proper specification about the project milestone as well as the changes that are required within the schedule for commencing the new apartment for early relocation to the new house.

Criteria and assumption for preparing the task list and milestone plan

 The various criteria that is required to be used for followed in order to develop the project plan are generally listed below:

  • Various activities which are mainly considered important for relocation must be used
  • Selection of the activities in which both Jeff and Kelley are involved are considered as important criteria
  • The cost that is needed for relocating must be selected successfully from the task list.

The assumptions which are made in order to prepare the task list or the project milestone list are generally elaborated below:

Time: The planner assumes that the all the activities that is needed to be executed will be completed before 31st of January as on this day the children needs to be present in their new school in the Perth city. The project must be completed as per the assumption so that the project does not face delay and will get completed on time.

Cost: As per the assumption, the entire project of relocation must be successfully completed within the budget that is assumed. Completion of project within assumption is quite helpful in mitigating the issues that are associated with project cost.

Resources: The project manager makes assumption that the resources which are generally needed for the relocation must be easily available. In addition to this, the team members will be available when shifting from sunshine coast to Perth will be done so that the materials as well as other belongings can be easily moved.

 

Details of the adjustments that are made in the schedule

The adjustment that are made in the project for making sure that Jeff must be able to move in the new house by 20th January, it is necessary to make some of the changes within the schedule of the project. The adjustment that are generally done in the project schedule are generally reflected below:

Changes in schedule: It is found that as per the assumption, the commencement of the new house will be done by 20th Jan and therefore the family can move by 20th to the new house therefore the time that they need to spend by staying in hotel get reduced thus the schedule of the project reduces. The schedule that is provided in the table reflects that the time that is required for completing the schedule is less as compared to the new schedule of the project.

Changes in the cost: As the family does not need to stay in hotel due to the commencement of the house by 20th January, it is found that the budget that is needed for completing the project will get reduced. The table that is provided below reflects that the cost that is needed after adjustment will be less as compared to the initial plan that is made.

Personal reflection

From the entire assignment, I have achieved significant knowledge as well as regarding project planning, initiation, cost management as well as project execution. I have gained information regarding the different types of processes as well as tools that are generally utilized within the project for successfully finishing the entire project within time. Additionally, I have got the skill of developing schedule as well as WBS that are helpful in making proper plan for the project with the help of project software. I have also analyzed that proper change management can only be possible if the result of the changes is known. Thus, the knowledge that I have collected about change management will be used by me in the coming future. During the entire course, I have learned how to execute the changes and make the necessary adjustment within the project by meeting the project development. The challenges and problem that I have faced during handling this project has taught me proper lesson about how to tackle or handle the project in critical situation. Thus, the knowledge which I have achieved from this project will guide me in my future projects. Thus, the learning as well as experience that I have hot will help me in developing my professional career in the future.
