The authorities at the Triad Hospital System which have six hospitals at various locations desires to adopt EDMS or Electronic Document Management System, because there are too many documents with which they have to work. The problem in choosing between EDMS Plus and HIM EDMS has resulted out of conspicuous understanding of the system. EDMS includes scanning of documents, storage, capture, management and destruction in an effective way (Pho & Tambo, 2014). EDMS Plus is designed for large corporations with lot of documents, on the other hand HIM EDMS is specifically designed for healthcare organizations. If the evaluation of which system works best with this organization had been used this stalemate could be prevented.

Who else should have been involved in the decision-making process? 

Apart from the directors of the institution more stakeholders who will be directly affected by the adaptation of this system should have been consulted. The people at the front desk, the backup team, the information managers and handlers who will directly work with the files will be affected by the introduction of this system, to consult them about how better they can work with the software should have been involved in the decision making process.

 

What should the health system learn from this experience?

The directors are no doubt very important in managing and running the chain of hospitals, and they have vast experience in the field. However, when it comes to technicality and working at the ground level, the healthcare officials and executives who may not be in the management position should also be consulted to avoid such deadlocks.

What should be the attempts to resolve this stalemate so that an EDMS can be chosen that all the HIM directors can accept?

As it has been mentioned that the general understanding is that EDMS Plus is designed for large corporations with lot of documents, on the other hand HIM EDMS is specifically designed for healthcare organizations, this has to be conveyed to the directors in effective way (Kain & Koshy, 2013). Moreover, the staffs who will use the system will practically use both of the software and give their verdict about which will be relevant and proper for the organization.
